Terms and Conditions

These Terms & Conditions apply to all SwimMore coaching sessions, bookings, packages, and services. By booking a session, you agree to the following:

Booking & Payment

1.1 All bookings must be made through the SwimMore online booking system or by direct arrangement with the coach.
1.2 Full payment is required at the time of booking to secure your session.
1.3 Once payment is received, lane space is confirmed and your booking is treated as fixed.

Rescheduling

2.1 Please choose your session time carefully. Once a booking is confirmed, your lane is secured exclusively for you and carries the administration and lane hire fees outlined below if you request to reschedule.

2.2 Rescheduling is strongly discouraged. Pool lanes are pre‑booked in advance and cannot be altered once confirmed, which limits the ability
to move sessions.

2.3 If a change is unavoidable, you must contact SwimMore by email or phone as soon as possible. All requests are assessed case‑by‑case and are not guaranteed.

2.4 Rescheduling requires additional administration and the re‑booking of pool space. A $30 administration fee applies to all approved reschedule requests.

2.5 The pool lane hire fee will also be charged, as SwimMore will not receive a refund from the pool and must cancel and re‑book lane space on your behalf.

2.6 SwimMore reserves the right to decline reschedule requests if no suitable alternative is available or if the request would impact operational efficiency.

Cancellations & Refunds

3.1 Cancellations made more than 72 hours before your session will receive a refund minus 20% to cover administration. The pool lane hire fee will also be deducted, as SwimMore will not receive a refund from the pool and must cancel and re‑book lane space on your behalf.

3.2 Cancellations made within 72 hours of your session are non‑refundable, as your lane has been pre‑booked exclusively for you and cannot be changed or reallocated. The pool lane hire fee will still be charged to your booking, as SwimMore will not receive a refund and must cancel and re‑book lane space on your behalf.

3.3 No refunds are provided for late arrivals, missed sessions, or failure to attend.

3.4 If you prefer to reschedule instead of cancel, a $30 administration fee applies to all approved reschedule requests (see Section 2).
The pool lane hire fee will also be charged, as SwimMore will not receive a refund and must cancel and re‑book lane space on your behalf.

Late Arrivals

4.1 Sessions begin at the scheduled time.
4.2 Late arrivals may result in a shorter session to avoid impacting other swimmers and lane bookings.
4.3 No partial refunds or credits are provided for lost time due to late arrival.

Weather & Safety

5.1 Safety is the priority for all SwimMore sessions.
5.2 If conditions are unsuitable (e.g., storms, lightning, unsafe ocean conditions), your session will be rescheduled at no cost.
5.3 You will be notified by text or email if changes are required.
5.4 SwimMore reserves the right to modify or cancel a session at any time for safety reasons.

Session Locations

6.1 All standard sessions take place on the Sunshine Coast, QLD.
6.2 Exact pool or ocean locations may vary depending on lane availability, weather, and operational requirements.
6.3 Location details will be confirmed by email within 48 hours of your booking being paid.

6.4 If you’d like coaching in another town or region, travel outside the Sunshine Coast is available for an additional fee - please contact us directly to discuss.

Communication

7.1 To keep administration simple and coaching‑focused, all communication must be clear, brief, and essential.
7.2 Lengthy back‑and‑forth emails cannot be accommodated.
7.3 Booking changes must be made through the booking system or by direct contact (email + phone).
7.4 SwimMore is both the coaching and administration provider, so time is at a premium. Please be aware there may be a delay in correspondence while we are in sessions with clients.

Health & Responsibility

8.1 By booking a session, you confirm that you are physically fit to participate in swimming activities.
8.2 You must disclose any medical conditions, injuries, or limitations in the Pre‑Session Questionnaire.
8.3 You agree to follow all safety instructions provided by the coach.
8.4 SwimMore is not responsible for injury, loss, or damage arising from participation in coaching sessions.

Video Recording & Privacy

9.1 SwimMore uses above‑ and below‑water video recording as part of its technique‑analysis process.
9.2 Filming is an essential component of the coaching method and is included in all sessions unless otherwise stated.
9.3 By booking and attending a session, you consent to being filmed for the purpose of stroke analysis, feedback, and technique development.
9.4 All footage remains the property of SwimMore.
9.5 Clients are granted a personal, non‑transferable licence to view and use their footage for private training purposes only.
9.6 Footage must not be shared publicly or distributed to others (including social media, websites, or messaging apps).
9.7 SwimMore does not use client footage for marketing without explicit written consent.
9.8 While every effort is made to capture clear footage, SwimMore cannot guarantee video quality due to environmental or technical factors. 

9.9 Refunds or partial refunds will not be issued on the basis of video quality or recording limitations.

10

Packages

10.1 Packages must be used within 12 months of purchase unless otherwise agreed.
10.2 Packages are non‑transferable and non‑refundable once the first session has been completed.
10.3 Package inclusions:

  • 3‑Session Technique Pack: 5‑hour + 3‑hour + 1‑hour

  • 5‑Session Progress Pack: 5‑hour + 3‑hour + 3 × 1‑hour (includes one free video update)

Liability

11.1 SwimMore takes all reasonable precautions to ensure a safe environment.
11.2 Participation in swimming activities carries inherent risks.
11.3 By booking a session, you accept full responsibility for your participation and release SwimMore from liability for injury, loss, or damage except where required by law.

12

Amendments

12.1 SwimMore reserves the right to update these Terms & Conditions at any time.
12.2 The version in effect at the time of booking will apply to your session.
